Funsquare play couch and our sensory pieces can be funded through some NDIS plans when they're judged "reasonable and necessary" for a participant's goals. Funsquare has been a registered NDIS provider since 2022, and we work with both plan-managed and self-managed participants across Australia. We can't approve funding ourselves (that's between you, your plan manager or support coordinator, your OT and the NDIA), but we can make the rest of the process simple with the right documentation.
This is the complete, step-by-step guide to the whole journey: understanding your plan, the approval test, getting OT support, ordering as a plan-managed or self-managed participant, exactly what's on our quotes and invoices, and realistic timelines. If you just want the quick eligibility overview, our Can You Buy a Play Couch on the NDIS? page covers that. This guide goes deeper into the actual process.
The honest basics first
A few things worth being clear and upfront about:
- Funsquare is a registered NDIS provider (Provider Number 4-G24F7MO, Registration Group 0112, Assistive Equipment for Recreation), registered since 2022.
- We cannot make the funding decision. Whether a product is funded is judged individually by the NDIA, guided by your plan manager or support coordinator, and very often an OT.
- Our products are designed to be soft, sturdy and safe, but they are not a medical device.
- What we can do is provide formal quotes and itemised invoices with all the details your plan manager needs, usually within one business day.
Understanding your NDIS plan and budgets
NDIS funding is split across budget types: Core Supports, Capacity Building, and Capital Supports. Equipment like a play couch or crash pad generally falls under Assistive Technology (AT), which is commonly funded through Core or Capital budgets depending on the item and your plan.
Assistive Technology is often grouped by cost and complexity (commonly described as low-cost, mid-cost and higher-cost AT). Lower-cost, everyday supportive items typically have a simpler path, especially with an OT recommendation. The exact category and budget that applies to you is something your plan manager or support coordinator will confirm against your individual plan, so it's always worth that quick conversation before you order.
The "reasonable and necessary" test, in depth
Every NDIS funding decision comes back to whether a support is "reasonable and necessary." The NDIA weighs four things, and it helps to think about how a play couch or sensory piece maps to each:
- Does it address a disability-related need? The item needs to move beyond "everyday use" and serve a functional purpose, such as sensory regulation, motor-skill development or physical support.
- Does it help reach a plan goal? It should clearly map to a goal in the plan, like building independence, improving social skills, or physical development through active or sensory play.
- Is it value for money? Because our products are modular and durable, they often represent strong value: they grow with the participant and serve multiple therapeutic roles over time.
- Is it safe and effective? The support must be safe and appropriate for the participant's age, living situation and needs. Our GECA-certified Australian foam and tested fabrics are built for safe home use.
Note on 2026 guidelines: the NDIS has refined its "reasonable and necessary" definitions recently, and we've seen more scrutiny on play-couch funding specifically. That makes the goal mapping and OT support more important than ever. Always confirm with your plan manager or support coordinator before you proceed.
Why an OT recommendation matters
A recommendation from an Occupational Therapist is one of the strongest ways to support a request. An OT can explain, in clinical terms, how a modular play couch or crash pad is being used as a therapeutic tool for the participant, for sensory regulation, deep-pressure input, or gross-motor development, rather than as ordinary furniture. If you don't already have an OT involved, your plan manager or support coordinator can usually help you connect with one.
Which Funsquare products are most commonly funded
Funding always depends on the individual plan, but some products are approved more often than others based on their therapeutic use:
- Crash Pads: the Funsquare product most commonly recommended by OTs, typically funded under low-cost AT budgets for sensory regulation and supported play. The approval path is often simpler when backed by an OT.
- Modular accessories (Cloud Mats, Folding Slopes, add-ons): generally sit in the same low-cost AT bracket, often used to build sensory circuits or safe play zones.
- Play Couches: funded for specific sensory or developmental goals, though they sit in mid-cost AT and are funded less consistently than they once were. Each case is assessed on its own merits.
If you'd like ideas for therapeutic setups, our guide to sensory play with a play couch walks through calm-down corners, deep-pressure retreats and more.
The participant journey, step by step
- Identify the goal and the product. Match what you're considering (say, a Crash Pad for regulation) to a specific goal in your plan.
- Get OT input. Ask your OT to note how the item supports that goal. This is the single most useful piece of supporting evidence.
- Request a quote from us. Email hello@funsquare.com.au with the participant's name, the products, and any wording your plan manager needs.
- Review against the plan. Your plan manager or support coordinator (or you, if self-managed) checks the quote against the plan and budget.
- Approval. Once approved, payment is arranged (the route depends on whether you're plan-managed or self-managed, below).
- Order and dispatch. We dispatch within 3 business days from our warehouse in Boronia, VIC, with tracking on dispatch. Free shipping Australia-wide on orders over $249.
- Claim or reconcile. Self-managed participants claim reimbursement through the portal; plan-managed orders are settled directly by the plan manager.
Ordering as a plan-managed participant
If your plan manager has confirmed a Funsquare product aligns with your goals, the process is straightforward:
- Initial contact: you or your plan manager email us with the participant's details and the products of interest.
- Formal quote: we generate a quote on Funsquare letterhead with our provider details, NDIS line items, product descriptions and estimated dispatch times.
- Approval and payment: once your plan manager approves, they arrange payment by bank transfer. We're happy to hold stock while approval is finalised.
- Tailored wording: if your plan manager needs specific wording or formatting on the quote or invoice to meet their internal requirements, just tell us and we'll adjust it.
Ordering as a self-managed participant
For self-managed buyers, the process is direct and flexible:
- Place your order directly at funsquare.com.au with your preferred payment method, or ask us for a custom invoice to pay by bank transfer.
- Receive your documentation: we provide a detailed receipt with everything the NDIS expects, including our provider number, registration date, support category, ABN and an itemised product list.
- Claim your reimbursement by submitting the receipt through your NDIS portal under the relevant support category.
- Need a specific format? Tell us before you order and we'll format the receipt to match your portal's requirements.
What's on a Funsquare NDIS quote and invoice
This is where being a registered provider makes life easier. Our quotes and invoices are issued on Funsquare letterhead and itemised line by line so a plan manager can process them quickly. Every document includes:
- Provider details: NDIS Provider Number 4-G24F7MO, Registration Group 0112 (Assistive Equipment for Recreation), and our registration date.
- Business details: Funsquare Pty Ltd and our ABN, 41 645 063 716.
- Itemised line items: each product listed separately with a clear description, quantity and price, so the support maps cleanly to the plan.
- Logistics: dispatch timeframe and shipping details.
- Any custom wording your plan manager has asked for.
If your plan manager or support coordinator needs anything extra to meet their requirements, we aim to turn requests around within one business day.
Tips to strengthen your request
- Tie the product explicitly to a named goal in the plan, not just "play."
- Include an OT recommendation that frames the item as a therapeutic tool.
- Lean on durability and modularity for the value-for-money case: one item that grows with the child and serves several roles.
- Ask us early for the exact documentation your plan manager wants, so there are no back-and-forth delays.
Timelines, shipping and holding stock
Approvals can take time, so plan ahead, especially around birthdays, a new sensory room, or the start of a school term. We're happy to hold items while approval is finalised so they stay in stock for you. Once payment is received, orders dispatch within 3 business days from Boronia, VIC, with tracking sent on dispatch and free shipping on orders over $249. If you're on a tight timeline, flag it when you reach out and we'll do our best to prioritise.
NDIS play couch FAQs
Is Funsquare a registered NDIS provider?
Yes. Funsquare has been a registered NDIS provider since 2022, with Provider Number 4-G24F7MO, registered under Assistive Equipment for Recreation, Group 0112. We work with plan-managed and self-managed participants and provide the documentation your plan manager or support coordinator needs.
Can a play couch actually be funded through the NDIS?
It can, when it's reasonable and necessary for the participant's plan goals, though play couches face more scrutiny than they once did and each case is judged individually. Crash Pads are funded more consistently under low-cost AT. Your plan manager, support coordinator or OT is the right person to advise what's realistic for your plan.
What's the difference between plan-managed and self-managed ordering?
The products and documentation are the same; only the payment route differs. Plan-managed: your plan manager receives our quote, approves it, and pays by bank transfer. Self-managed: you buy directly (or via a custom invoice) and submit our itemised receipt for reimbursement through your portal.
What information do you put on an NDIS invoice?
Our invoices include our NDIS provider number (4-G24F7MO), registration group and date, our ABN (41 645 063 716), and an itemised, line-by-line product list with descriptions and prices, all on Funsquare letterhead. We can add custom wording if your plan manager requires it.
How long does it take, and can you hold stock?
Approval timeframes vary by plan and plan manager. Once payment is received we dispatch within 3 business days from Boronia, VIC. We're happy to hold your items while approval is being finalised so they don't sell out while you wait.
Do I need an OT recommendation?
It isn't always mandatory, but it's one of the most effective ways to support a request. An OT can explain how the item works as a therapeutic tool for sensory regulation, motor development or physical support, which directly addresses the "reasonable and necessary" test.
Which support category does Funsquare register under?
Assistive Equipment for Recreation, Group 0112. Whether a specific product fits a participant's plan is a decision for the NDIA, your plan manager or support coordinator, and sometimes an OT. We can provide documentation to support that conversation.
Ready to start your NDIS request?
The fastest way to begin, especially for plan-managed buyers, is to submit an NDIS request. You can also email hello@funsquare.com.au with the participant's name, the products you're considering, and your plan manager's details, or call 0468 018 005. A real person on our Melbourne team will help, usually within one business day.
